Why The First Reply Wins The Job

Quick Answer

When a homeowner needs a plumber, they contact a few businesses. Here is why the first helpful reply usually wins, and how to be that reply.

A pipe is leaking. The homeowner picks up the phone, or fills in a form, and tries two or three businesses. The first one that answers politely and clearly usually gets the job.

That is not about being the cheapest or the biggest. It is about being the first one who made the problem feel handled.

What A Good First Reply Does

A good first reply is short. It does three things:

  1. It says you got the message and who you are.
  2. It asks the one or two questions you need to quote or book, such as the address and what is happening.
  3. It tells them what happens next and when.

That is enough. It does not need to be polished. It needs to be quick and human.

Why It Is Hard To Do Yourself

You are under a sink or on a roof. You cannot type while you work. By the time you get back to your phone, the customer has already booked someone else.

Ways To Answer Faster

  • Use a request form that collects the address, the problem and a phone number, so you never start from zero.
  • Save two or three reply templates for the common jobs and edit them in a minute.
  • Pick a time to check messages, and say so in your voicemail or form confirmation.
  • Hand off the first reply to someone who can send it while you work.

Keep A Person In The Loop

Fast does not mean careless. A first reply can be drafted for you and checked by a person before it goes out. The customer gets an answer quickly, and it still sounds like your business.

Once the first reply is handled, the next piece is what happens after the quote.
